DRIVE MAPPINGS (your storage spaces):

lockerWhen you log onto your computer you are given 'Drives' to use - these are just storage spaces on the network. You will see them as letters of the alphabet. There are usually three drives every user must know:

C : This is physically located on your machine. We typically discourage anyone from storing anything on C because if your computer has a problem then we cannot easily retrieve the information. We encourage everyone to store important information on the NETWORK drives.

H: HOME drive - this is the storage area on the network that is set up specifically for YOU. No one else can see it.

S: SHARE drive - this is the storage area on the network used by everyone in YOUR department. Talk to your supervisor about how they have it organized and how you should use it. The vast majority of work by most employees is stored on the SHARE drive.

E-MAIL POLICIESComputer overloaded with email

Please observe the following email policies:

  • archive older email to save room
  • clean out your inbox of older email that is non-essential - unless it is paper-trail related you can likely delete old email
  • clean out your 'sent items' folder of all non-essential email (most people don't even realize there is mail piling up in there)
  • delete all emails with large attachments as soon as you can (the attachments take up a lot of room)

As a policy the IT Department will be using tools to track mail box sizes and notifying users with large accounts. We will be performing the following mandatory cleanups on Brown Building accounts to keep the email system to a manageable size.

  • removal of all 'Sent Items' email older than 30 days
  • removal of all email with attachments older than 30 days
  • removal of all email inside the 'Inbox' older than 180 days

If any of these measures pose a problem please let us know immediately and we will work with you on how to work around this.

Thank you for your help in maximizing the effectiveness of our email system.

GENERAL POLICIES ON COMPUTER USE:

Click here to view OEPP's complete
Internet and Network Services Acceptable Use Policy

virus symbolDo not visit websites other than those prescribed by your department. Many of the problems computers have are from viruses or other bugs placed on a machine from bad websites.

Do not store anything personal on the network or local drives.

Do not modify any settings on your computer or install any programs unless instructed by your department supervisor. If you need a program installed please notify the IT department so that we can do it.

If you accidentally delete or damage a file, notify the IT department immediately. Do not attempt to retrieve the file (unless it is in your Recycle Bin - that is simple enough for you to do). Do not modify a damaged file as this will make recovery more difficult.

Your IT department is available to answer any questions or address any problems you have. We are located in rooms 445A,445B,446A,442,440A/B on the fourth floor of the Brown Building.

We welcome you to the Office of Executive Policies and Programs, and look forward to serving you.
